Messages Overview
Messages is the admin-to-employee communication hub inside The Guard.
Admins can send a one-way announcement to any employee or group, or formally request that employees upload a specific document — all without leaving The Guard. Employees receive these in their employee portal and can respond to document requests by uploading directly there.
Announcements
Announcements let admins send a direct message to one employee, a group, or the entire organization.
To create an announcement, click + New → New Announcement from the Messages page.

- Subject — the subject line of the announcement
- Message — the body of the announcement sent to employees
- Select Recipients — choose which employees receive the announcement
Selecting recipients

- Search for individual employees by name, or use the Search All dropdown to filter by group or location
- Select one employee, multiple employees, or an entire group
Viewing sent announcements

- The Announcements tab shows all sent announcements, sorted by date
- Each announcement displays the subject, recipient count or groups, the date sent, and the admin who sent it
- Sort the list by date or search for a specific announcement using the search bar
Document Requests
Document Requests allow admins to formally ask employees to upload a specific document. Employees respond by uploading directly through their employee portal.
To create a document request, click + New → New Document Request from the Messages page.

- Subject — the title of the document request (required)
- Upload Destination — the folder in the employee's Documents tab where their uploaded file will be saved (required)
- Message — describe what you need the employee to upload (required)
- Optional Attachment — attach a reference file if helpful (PNG, JPG, PDF, DOCX, XLSX, PPTX — max 25MB)
- Due Date — the date by which the employee must submit the document (required). Overdue requests are flagged and factor into the employee's conformance score.
- Select Recipients — choose individual employees or groups to send the request to (required)
When an employee uploads a document in response to a request, it is saved directly to the folder specified in Upload Destination on their employee profile.
